If an external open-call platform, event platform, social media platform, embedded service, or other third-party tool sets its own cookies, that third party may be independently responsible for its own cookie processing.
2. What are cookies?
Cookies are small text files placed on your device when you visit a website. They allow a website to recognise your browser or device and may be used to operate the website, maintain security, remember choices, support forms, collect statistics, or enable external content.
Similar technologies, such as local storage, session storage, pixels, tags, and scripts, may perform similar functions. In this policy, we refer to all of these technologies as “cookies”.
3. Cookies used by this website
The ARXIVE website uses cookies only where necessary for the operation, security, and functionality of the website, or where you have given consent for optional cookies.
The website does not use optional analytics, advertising, marketing, profiling, or tracking cookies unless such tools are specifically enabled and, where required, accepted through a cookie banner or cookie settings tool.
4. Categories of cookies
4.1 Strictly necessary cookies
Strictly necessary cookies are required for the website to work properly. They may be used to:
- load and display the website;
- maintain website security;
- prevent spam, abuse, or unauthorised activity;
- support the contact form;
- remember cookie choices;
- maintain session functionality;
- troubleshoot technical problems.
These cookies do not require consent because they are necessary to provide the website or service requested by the user.
4.2 Preference cookies
Preference cookies allow the website to remember choices you make, such as language settings, display preferences, or cookie choices. These cookies are used only where technically enabled and, where legally required, only with your consent.
4.3 Analytics cookies
Analytics cookies help understand how visitors use the website, such as which pages are visited and how users navigate the site.
The ARXIVE website does not use analytics cookies unless an analytics tool is enabled. If analytics cookies are used, they will only be placed where legally permitted and, where required, after your consent.
4.4 Third-party content cookies
The ARXIVE website may link to or embed third-party services, such as social media platforms, video platforms, event tools, maps, open-call platforms, or external project services.
If third-party content is embedded, those third parties may set cookies when you interact with that content. Where required, such cookies will only be loaded after your consent.
A plain link to an external website does not normally place cookies on your device. However, once you leave the ARXIVE website, the external website’s own privacy and cookie rules apply.
4.5 Open-call platform cookies
If ARXIVE open calls or Financial Support to Third Parties applications are hosted on a dedicated platform, that platform may use cookies to:
- allow applicants to create an account or log in;
- maintain an applicant session;
- save application progress;
- enable document uploads;
- secure submissions;
- prevent fraud or misuse;
- support evaluation and review workflows;
- manage notifications or user preferences.
Strictly necessary cookies for open-call submission and account functionality may be used without consent. Optional analytics, tracking, or third-party cookies on open-call platforms will only be used where legally permitted and, where required, after consent.
If the open-call platform is operated by a third-party provider, that provider’s own Cookie Policy may also apply.
5. Cookie table
The ARXIVE website currently uses, or may use, the following categories of cookies:
| Cookie category | Provider | Purpose | Consent required? | Duration |
| Strictly necessary cookies | ARXIVE website / hosting provider | Website operation, security, technical functionality, contact-form support, spam prevention, session management, and remembering cookie choices | No | Session or limited technical period |
| Preference cookies | ARXIVE website, if enabled | Remembering user choices, such as language, display settings, or cookie preferences | Yes, where legally required | As stated in the cookie settings tool |
| Analytics cookies | Analytics provider, only if enabled | Measuring website traffic and understanding website use | Yes, where legally required | As stated in the cookie settings tool |
| Third-party content cookies | Third-party service provider, only if embedded | Enabling external content such as videos, maps, social media widgets, event tools, or external services | Yes, where legally required | Set by the third-party provider |
| Open-call platform cookies | Open-call platform provider, where applicable | Applicant login, session management, application submission, security, document upload, and evaluation workflow support | No for strictly necessary cookies; yes for optional cookies | Set by the platform provider |
If optional cookies are introduced in the future, the cookie table and cookie settings tool should be updated with the cookie name, provider, purpose, duration, and legal basis.
6. Legal basis
Strictly necessary cookies are used because they are required to provide the website or online service requested by the user.
Where personal data is processed through strictly necessary cookies, the legal basis is the legitimate interest in operating, securing, and maintaining the website, or another applicable legal basis described in the ARXIVE Privacy Policy.
Optional cookies, such as analytics, preference, embedded-content, or third-party cookies, are used only where legally permitted and, where required, based on your consent.
You may withdraw consent at any time.
7. How to manage cookies
Where optional cookies are used, you can manage your choices through the cookie banner or cookie settings tool.
You may be able to:
- accept all optional cookies;
- reject all optional cookies;
- select specific cookie categories;
- change your preferences later;
- withdraw consent.
Rejecting optional cookies will not prevent you from accessing the main ARXIVE website. However, some optional features, such as embedded videos, maps, social media content, or external tools, may not function unless the relevant cookies are accepted.
8. Browser controls
You can also manage cookies through your browser settings.
Most browsers allow you to:
- view cookies stored on your device;
- delete cookies;
- block all cookies;
- block third-party cookies;
- receive a warning before cookies are stored;
- clear cookies when closing the browser.
Blocking all cookies may affect the functionality of the website, contact forms, open-call platforms, or other online services.
9. Contact form and cookies
The ARXIVE contact form may use strictly necessary technical cookies or similar technologies to ensure that the form works correctly, prevent spam, maintain security, and process your submission.
Personal data submitted through the contact form is processed as explained in the ARXIVE Privacy Policy.
10. Third-party websites
The ARXIVE website may contain links to third-party websites or platforms. These third parties are responsible for their own cookies and similar technologies when you visit their websites or interact with their services.
ARXIVE, INOVA+, and LUH are not responsible for cookies placed independently by third-party websites after you leave the ARXIVE website.
11. Changes to this Cookie Policy
This Cookie Policy may be updated to reflect changes in the website, cookies, open-call platforms, third-party services, legal requirements, or technical tools.
The updated version will be published on this page with a revised “Last updated” date.
